Looking For Administrative Assistant (spokane) Full-time

SUMMARY:

A heavy construction equipment sales and transport company is looking to hire an experienced Administrative Assistant, responsible for providing wide-ranging administrative support of a highly responsible and confidential nature for our Safety and Contracts/Risk departments.



PRINCIPAL DUTIES AND RESPONSIBILITIES:



1. Receives and screens calls and visitors and takes action or ensures timely referral to appropriate Bigge subject matter expert for handling

2. Performs daily administrative tasks on behalf of two managers including phones, correspondence preparation and distribution, copying/filing of memos, emails, faxes, etc.

3. Reviews and routes incoming/outgoing mail, independently handles or forward as appropriate to other team

4. Assists with various insurance-related administrative matters including the entry and tracking of insurance expiration dates, and initiation, preparation, transmittal and follow up on documentation requirements as applicable to specific situation

5. Works on special assignments/projects as assigned. For example, creates and updates historical project contracts database

6. Updates and maintains Workers Compensation claim tracking and retrieval system. Ensures safety records are kept up to date and accurate in both non-union and union personnel files

7. Assists safety manager with scheduling, planning and administering DISA training for craft personnel

8. Assembles or assists in the gathering of documents required in response to subpoenas and/or other authorized requests from recognized legal/governmental agencies.

9. Assists HR department with filing of Craft employee documents and maintenance of Craft personnel files.

10. Creates and updates various spreadsheets used to monitor and track primarily craft employee activities ranging from new hires to background investigation-related tasks, site access authorizations and clearances, and other related responsibilities as assigned.





JOB-RELATED QUALIFICATIONS:



• Previous administrative experience with prior exposure to contracts, legal operations and safety department activities.

• Demonstrated proficiency in Microsoft Office applications including Word, Excel, Access, PowerPoint, and Outlook

• Exhibit sound judgment and decision-making skills

• Comfortable in a self-starter capacity and capable of thinking and working independently

• Must be able to effectively communicate with customers and employees at all levels of the organization.

• Possess strong organizational and planning skills

• Capable of composing accurate and professional routine business correspondence; good spelling and proofreading abilities

• Attention to detail and excellent follow-up, follow-thru skills required

• Ability to prioritize and handle multiple assignments and duties simultaneously

• Exhibit discretion and ability to safeguard confidential information

• Ability to make effective decisions in a timely manner
