Catering Coordinator (The Spokane Club) Full-time

Assists in the record keeping and maintenance of catered bookings which include but are not limited to in-house meetings, events, and functions for members and guests. Takes and produces meeting minutes, disseminates all Catering departmental information to appropriate managers and employees.



Essential Job Responsibilities

1. Take event orders; relay all information to the Catering Sales Rep for approval and follow up.

2. Accurately record and maintain a calendar of all meetings, events, and functions

3. Formulate and distribute Banquet Event Orders (BEO).

4. Create pre-arrival estimates; secure signed BEO's and method of payment. Carefully check billing after each event and make corrections as needed.

5. Provide full administrative support for Catering office, including phone calls, take messages or field/answer all routine and non-routine questions; organize and prioritize information and calls; file organization and maintenance.

6. Work with other departments to assist with event planning details and to disseminate information throughout the Club to ensure successful outcomes.

7. Assist members and guests with items brought into the Club for their event.

8. Other duties as assigned.



Qualifications Required:

•Minimum age of 18

•Strong interpersonal skills with a customer service orientation.

•Computer proficiency in Word, Excel, and the Internet.

•Considerable knowledge of clerical policies and procedures.

•English language and professional communications skills.

•Ability to take direction; work calmly and effectively under pressure.

•Must have problem-solving abilities, ability to multitask, and basic math skills.

•Self-motivated and organized.

•Previous experience in event planning, food service, and general office work preferred

•Neat, professional appearance at all times

•Positive attitude; takes pride and ownership in job

•Customer-service orientation to create an atmosphere of genuine care for members and guests and provide a high level of personalized service.

•Ability to think and act quickly and perform effectively under pressure while maintaining a professional, helpful, and poised demeanor.



Physical Demands:

▪ Able to hear with 100% accuracy with correction

▪ Able to see 20/20 vision with correction

▪ Ability to lift up to 30 pounds when assisting with decorations and member requests.

▪ Ability to sit for periods of time

▪ Ability to walk and stand for periods of time
